Share content

Connect people with the work they need to access.

How it fits together.

A link points to an item. Its sharing configuration determines whether the recipient can read or edit it. For shareable objects, add people or groups and set their access. Newly added recipients start with read access. The owner and existing access entries are visible in the same view.

General access for your own organization is a separate setting. Public publication is available only for eligible objects and can optionally use a custom domain and path. Sharing through a message opens a message draft containing the object, so you can edit the text before sending.

Step by step in AIOS

01

Open the object and choose Share.

Share offers several routes: copy a link, start a message draft or configure shared access. The object must support the corresponding capability to configure access.

02

Copy link gives you the address. Use the shared-access settings to configure access.

Add people or groups. New recipients start with Read; open their access entry when Write is intended. General organization access is configured separately.

03

Review and save the sharing configuration, then reopen the object to check it.

Review owner, individual recipients and general access together. Save before distributing the link. Message sharing first opens a draft with the linked object.

04

If the object supports publishing, configure public access and, where applicable, its domain or path there.

Eligible objects offer public publication. The optional custom address uses an existing domain and a path; it does not register a new domain.

Sharing plan for a project brief
Object: Project brief “Customer portal rollout”
Mira: Owner
Jonas: Write — contributes to the draft
Project steering group: Read — reviews progress
General organization access: off
Public publication: off

Use this plan to agree access with your team, then apply the permissions in the object’s sharing dialog.

Key sharing settings

AreaMeaning in daily work
ReadView information; newly added recipients begin with this access.
WriteContribute edits where sharing permits this access.
OwnerVisible in sharing; required to configure access for shareable user-owned objects.
General organization accessSeparately enabled access for your own organization.
Public publicationAdditional option for eligible objects, optionally with a custom address.

If something does not work.

  • A recipient cannot open the link: Check saved access for that person or group; a link alone does not grant permission.
  • Shared-access configuration is missing: Check whether you own a shareable user-owned object.
  • A domain is missing: Publication selects existing domains; configure it through the appropriate organization workflow.
